Case Study
From four systems to one
How Chantries & Pewleys run Kotini with Loop
Chantries & Pewleys is an independent agency based in Guildford, with four branches and a reputation built on communication and giving clients a personal service. Iwan Hall works out of the Guildford office, and talking about how Chantries & Pewleys runs, he describes a small team that does everything:
Plenty of agents will recognise that model, and the cost that comes with it. When the same person carries a deal from valuation to completion, every hour spent on admin is an hour away from the client or next instruction.

There’s four of us here in the Guildford office and there will always be four of us. And those four of us… we’re valuing, we’re doing viewings, we’re negotiating, we’re progressing…
You’re not passed from a sales progressor to a negotiator to the valuing agent and back and forth. It is one point of contact throughout the whole transaction, and that gives everyone reassurance, whether it’s sellers or buyers.

"Slick", but spread across four systems
Iwan was clear that the old setup worked. “We were still slick with using DocuSign and using lots of different products,” he says. The problem was the process between those products.
Chantries has clear plans to grow and like most great agents, want to keep on top of the next steps in every transaction. They needed a way to “fix” the process in between the multiple products they use and unlock their time to do just that.
Chantries & Pewleys found that fix when he integrated Kotini with Loop.
We were relying three or four different systems that we were having to manually collate into one place.

Kotini combined with Loop
One of the great things that Kotini and Loop do… is speak to each other… the kind of margin for error is really, really low. If the vendor says something, it gets pulled through.
Iwan Hall, Associate
This is the part Iwan returned to again and again in our conversation. Kotini collects what the agency needs from the client, and then passes it straight into Loop. Nurturing Chantries clients from signing a contract, to making a payment right through to providing material information.
A phrase also worth noticing is “margin for error”. Every time an agent retypes information from one system into another, there’s a chance of a mistake waiting to happen .
However, with Kotini and Loop connected, what the vendor tells Kotini is what Loop shows and those mistakes start to disappear.
The integration of Kotini into Loop just gives me that peace of mind.

Using Loop?
Book a demo and watch how client’s answers land in your CRM without anyone retyping them.Time back for the work that wins instructions.
For a team where everyone values, negotiates and progresses, the real gain is hours back. Iwan puts it simply: “Kotini has bought back time to enable us to go out and win that business and generate that business.” And the saving reaches beyond the agents:
We’re not sending out information through four different systems, and clients aren’t having to liaise with four different systems either.

What’s helped Iwan to unlock even more time is clients being able to progress their transactions long after the office closes.
“I was sitting at home last night, and I know you shouldn’t, but it was about 9 o’clock, and I was seeing all these bits pinging: contract signed for this, fees paid for this, and material information collected for this. Kotini is working for you even when you are not at your desk.

And all of this was achieved with a simple integration with their CRM, Loop.
A seamless roll-out
Any agent weighing up a new system is really asking three questions. Will clients use it? Will it disrupt the team? Will anyone help when something goes wrong?
On clients, Iwan reports they’re “finding it super easy, even the older clients.” On setup, Kieran Witt from Kotini configured the accounts across the four offices, and Iwan describes the invoices as slick and payments as really easy. He’s also noticed the platform improving in the short time Chantries has been using it, with changes that make life easier for agents and vendors alike.
And on support, Sandra Wallond, another Loop agent, shares the same sentiment as Iwan, the support is as good as the system:
We are really enjoying working with Kotini. Whilst the programme is very easy to use, their customer service is also brilliant and they are always there to help if we have any queries. Thank you Kotini!

Advice to other agents
Iwan’s advice to other agents was short: “We would genuinely and wholeheartedly recommend Kotini to anybody looking to streamline systems.”
If you already run on Loop, the hardest part of the setup is in place. Kotini sits alongside it, collects what you need from clients, and sends it into the CRM you already trust, so your team can spend its time on valuations and viewings.
Book a demo with one of our onboarding experts and we’ll walk you through three things:
- The client’s side. What your vendors and buyers see when they onboard, from terms and ID checks to material information and fees.
- The Loop side. Where that information lands in your CRM, so you can see for yourself that nobody needs to retype it.
- Your setup. How fees, branding and multiple branches would be configured for your agency.
We would genuinely and wholeheartedly recommend Kotini to anybody looking to streamline systems.
